Who we are

Brilliant Birthdays is the trading name of Ignite My Party Ltd, company number 06831303. We are responsible for the personal information we use to handle enquiries and bookings. For privacy questions or requests, email info@brilliantbirthdays.com or use our Contact Us page.

Information we collect

When you enquire, book or pay a deposit, we collect the information needed for your request. This can include your name, email address, contact number, chosen entertainment or characters, event date, start time and duration, venue name and address, town or area, postcode, travel and station details, and your messages to us. For children’s parties, this includes the birthday child’s first name and age, the number of children and their age range. Corporate enquiries may include a company name and event details.

Our forms are intended to be completed by adults. Please only provide information about a child where you are authorised to do so, and only include what is relevant to organising the entertainment. Please do not send card details, passwords or unnecessary sensitive information in enquiry fields or email.

We also keep booking correspondence and payment records, including the deposit amount, payment status and transaction reference. Website and security systems may record technical information such as IP address, browser details and access logs.

Why we use your information

We rely on taking steps at your request before a contract and performing our contract with you for booking administration. We rely on our legitimate interests in running and protecting our business for relevant operational communications, security and handling children’s event details supplied by the booking adult, taking account of the people affected. We use information where necessary to meet legal and accounting obligations. Where we ask for consent, such as a requested décor referral or optional cookies, you can withdraw that consent by contacting us or changing the relevant choice.

Required form fields help us assess and fulfil your request. Without the relevant details we may be unable to provide a quote or arrange the booking. Booking confirmation is made by our team, not by an automated decision.

Sharing information to arrange your booking

We may share relevant booking information with the entertainer, contractor or service provider who needs it to fulfil your booking. This can include your contact number, venue and travel details, timing, chosen entertainment, and relevant information about the children or event. We share information relevant to their role.

If you select the option asking us to pass your details to our sister company for décor, we record that request and may share the relevant contact and event details for that purpose. You can contact us to withdraw the request before a referral is made.

Our website uses WordPress and Fluent Forms to receive and store enquiries and payment-form entries. Emails are sent through FluentSMTP using our Gmail/Google Workspace connections. Website backups are made with UpdraftPlus and stored in Google Drive. Hosting, website maintenance and security providers support these systems; Wordfence provides website security. Information may also be disclosed where required by law or needed to deal with legal or accounting matters.

Payments

Online deposit payments are processed by PayPal through the website’s Fluent Forms Checkout integration. You enter payment credentials with PayPal, not into our enquiry fields. We do not store your full card details or PayPal password. We retain the booking information and payment results needed to reconcile the payment, including the amount, status and transaction reference. PayPal handles information under its own Privacy Statement.

Cookies and external services

The website uses cookies and similar technologies for essential operation, security and remembering privacy choices. Complianz manages cookie preferences. Where optional cookies or external services require consent, use the website’s cookie controls to make or change your choice. You can also control cookies in your browser; blocking necessary cookies may affect functionality.

The current website configuration does not use an analytics or advertising tracking service. Google Fonts is used for typography; where fonts are loaded from Google rather than stored on our website, your browser connects to Google and shares technical connection information such as your IP address. See Google’s Privacy Policy. Links to other services, including social media and PayPal, take you to services with their own privacy and cookie policies.

International processing

Providers such as Google and PayPal operate internationally, so information they handle may be processed outside the UK. Their privacy notices explain their processing locations and transfer arrangements. You can contact us for information about the safeguards relevant to our use of service providers.

How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and any relevant legal or accounting requirements. We consider whether an enquiry or booking is still active, whether records are needed for payments, complaints or legal matters, and whether the information can be deleted or anonymised. Backup copies are managed as part of the website’s backup arrangements.

Keeping information secure

We use access controls and website security measures to help protect information and restrict access to people who need it for their work. No website or email system can be guaranteed completely secure. Please contact us promptly if you believe information relating to your booking has been misused or sent to the wrong person.

Your rights and complaints

Depending on the circumstances and the lawful basis for processing, UK data-protection law gives you rights to request access to your information, correct inaccuracies, request erasure, restrict processing, object to processing, and receive certain information in a portable format. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing. These rights are not absolute; for example, we may need to retain records required by law.
